  1. Proficient with MS Office Suite

  2. ACTIVE SECRET CLEARANCE

  3. Answering telephone calls and receiving/meeting/escorting visitors, referring to appropriate staff members, if necessary

  4. Setting up appointments and meetings and arranging for conference rooms

  5. Managing files, preparing file folders and transferring old files to be archived

  6. Scanning equipment

  7. Typing documents (correspondence, memoranda, cables, diplomatic notes, etc.)

  8. Sending and retrieving materials by facsimile

  9. Copying and collating materials

  10. Preparing Time and Attendance (TATEL)

  11. Preparing travel orders and handling travel arrangements

  12. Preparing travel, taxi and other vouchers

  13. Drafting country clearance requests

  14. Responsible for scheduling and managing conference rooms throughout entire Bureau

 

Administrative Support- The contractor may provide a full range of administrative support, such as:

  1. Finalizing and deliver documentation for the 7th floor Principles

  2. Delivering /picking up materials and packages from the loading dock

  3. Documents  receiving for correspondence and packages

  4. Orders office supplies through procurement system (ILMS)

  5. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies;

  6. Completing other clerical tasks, as requested by the assigned officers.

  7. Compiling ePerformance Documents and enter them into the HR Database.

  8. Update and maintain resource documents for equipment, floor plans and general services 

  9. Complete service requests forms

  10. Serves as a liaison for basic building service/repair requests

 

SKILLS  REQUIRED

  1. Use electronic mail systems

  2. Use word processing, spreadsheet and other computer application programs and equipment in the production of work

  3. Type with speed and accuracy

  4. Compose correspondence and routine reports

  5. Proofread and review work for accuracy, correctness and completeness

  6. Maintain confidentiality of sensitive information

  7. Communicate effectively in orally and in writing

  8. Interact effectively with all levels of staff, representatives from outside agencies and the public in a diplomatic manner

  9. Read, understand, follow and explain to others policy and procedure

  10. Access and utilize data from a computerized record-keeping system

  11. Operate a wide variety of modern office equipment

  12. Establish effective working relationships with management, employees, employee representatives and the public representing diverse cultures and backgrounds

  13. Communicate effectively with a variety of individuals representing diverse cultures and backgrounds and function calmly in adverse situations, which require a high degree of sensitivity, tact and diplomacy
